The radiation protection annual report, filled in online.

Practices with X-ray equipment have to draw up a radiation protection annual report every year. For a consultancy that helps them with it, I built a web application in 2021 where practices fill in the report themselves, step by step. The consultancy follows the progress and the system lays out the report.

01 — The question

The same questions every year, for every practice.

Every year, the consultancy had to collect the same information from each practice: which X-ray devices are in use, their maintenance, the dosimeters, the instruction given and last year's action points. That went through email and loose documents, and getting everything complete for each practice took a lot of time.

02 — Wizard

Six steps, mostly filled in already.

The practice logs in and works through the report in a step-by-step wizard. What is already known, such as the locations and devices, is filled in and only needs checking. Every question comes with an explanation.

  • Locations and practice details, also for practices with several branches.
  • X-ray devices and maintenance reports.
  • Dosimeters, the annual dose and the dosimetry service's annual report.
  • Information and instruction.
  • Last year's action points and suggested points for this year.

03 — Report & signing

The report lays itself out.

After the last step, the system lays out the annual report as a Word document. The consultancy checks it, the practice signs it and uploads the signed version. Every document ends up in the right place in the consultancy's file storage.

04 — Reminders

No more chasing by phone.

The system automatically sends practices an invitation, and reminders when they have not started, the report is not finished or the signature is missing, with the deadline included. The consultancy sees in one overview where each practice stands.
